This policy explains how Let's Go Hiking Zambia ("the club") collects and uses personal data. It is intended to support compliance with the Data Protection Act No. 3 of 2021 of Zambia and should be reviewed by a qualified adviser.
What we collect
- Your name, email address, mobile number and town
- An emergency contact's name and mobile number
- An optional profile photo
- Membership, hike booking and payment records (we never receive or store your card number, CVV or mobile money PIN)
Why we collect it
To run your membership, organise hikes safely, issue certificates and receipts, and meet our accounting obligations.
Who can see it
Club administrators with a need to know. Hike leaders see participant names and emergency contacts for the hikes they lead. Public certificate verification shows only your name, membership number, plan and validity dates.
How long we keep it
[Retention periods to be confirmed by the committee, e.g. financial records for the period required by law.]
Your rights
You may ask to see, correct or delete your data by contacting [club email]. Some records must be kept for legal or accounting reasons.
